General principle
Refunds depend on when the booking is cancelled, how it was paid, whether any deposit, membership credit, gift card value, or loyalty reward was used, and whether treatment has already taken place.
Standard payments
Where a booking is paid by cash, card, bank transfer, Stripe, or other money payment, eligible paid amounts may be refunded if the booking is cancelled in time under the booking policy.
If cancelled late, the clinic may retain the deposit or other late-cancellation amount under the clinic's current live rule.
Any refund due will usually be processed back to the original payment route where possible, or otherwise handled manually by the clinic.
Deposits
Where a deposit has been paid and a booking is cancelled late, the current clinic rule is that the deposit is retained.
Membership credit
Where a membership credit was used, an early cancellation may return the relevant credit and a late cancellation may retain some or all of that credit depending on the clinic's late-cancellation rule and the booking value involved.
Gift cards
Where a gift card was used, the clinic may need to review the cancellation manually.
Online cancellation is not currently available for gift-card-funded bookings.
Where value is restored, it is restored to the gift card balance rather than paid out in cash unless required by law.
Loyalty
Where loyalty value was redeemed, refunds and reversals are handled against the clinic's live booking and loyalty records. Loyalty value is not cash and is not automatically treated the same way as a card payment.
Clinic cancellation
If the clinic needs to cancel a booking and cannot offer a suitable rearrangement, any eligible paid amount will be refunded or equivalent value restored.
VAT
At the time of this policy, the clinic is not VAT registered, so receipts currently state No VAT charged.
